The Mamoru and Aiko Takitani Foundation, Inc. (“Takitani Foundation,” “Foundation,” “we,” “us,” or “our”) respects the privacy of visitors to takitanifoundation.org (the “Website”).
This Privacy Policy explains how information may be collected, used, disclosed, and protected when you visit or interact with the Website. It also explains how certain information related to Foundation programs may be handled through third-party services.
1. Information We Collect
The information we collect depends on how you interact with the Website.
Information You Provide to Us

If you contact the Foundation through the Website, we may collect:
Your name;
Your email address; and
The contents of your message.
Contact form submissions are sent to the Foundation through its business email system, which is currently provided through Google Workspace.
Restricted Partner Submissions
Certain authorized Foundation partners may have access to password-protected portions of the Website where they can submit grant reports or related documents.
These submissions may include PDF or DOCX files and may contain information provided by the partner in connection with its relationship with the Foundation.
Submitted materials may be processed or stored through systems used by the Foundation, including Squarespace, email, and Google Drive.
Partners should submit only information that is appropriate and necessary for the applicable Foundation purpose and should avoid including unnecessary sensitive personal information.
Information Collected Automatically
When you visit the Website, certain technical information may be collected automatically by the Website or services used to operate and understand Website activity.
This information may include:
Internet Protocol (IP) address;
Browser and device information;
Operating system;
Pages viewed;
Referring websites or sources;
Approximate geographic information derived from an IP address;
Dates and times of visits; and
Information about how visitors interact with the Website.
The Foundation uses Squarespace's built-in website analytics and Google Analytics 4 (GA4) to better understand Website traffic and usage. The Foundation also uses Google Search Console to understand how the Website appears and performs in Google Search.
These services may use cookies, device information, or similar technologies as part of their operation.
2. How We Use Information
We may use information collected through or in connection with the Website to:
Respond to questions and contact requests;
Communicate with Foundation partners;
Receive and review grant reports and related partner materials;
Administer Foundation programs and activities;
Operate, maintain, secure, and improve the Website;
Understand how visitors find and use the Website;
Evaluate Website performance and accessibility;
Maintain appropriate Foundation records;
Protect the Foundation, its Website, its partners, and its users from misuse or security threats; and
Comply with applicable legal and regulatory obligations.
The Foundation does not use personal information collected through the Website for targeted advertising.
3. Scholarship Applications
Scholarship applications are not submitted directly through the public Website.
The Foundation currently uses a third-party application platform available through GrantInterface.com to administer its scholarship application process. Applicants who follow a scholarship application link may leave the Foundation's Website and interact directly with that third-party service.
The Foundation may receive and access information that applicants submit through the application platform as necessary to administer its scholarship programs, review applications, select recipients, maintain program records, and carry out related Foundation activities.
Scholarship application information may be reviewed by authorized individuals involved in the selection and administration process, including members of scholarship selection committees.
The types of information requested as part of a scholarship application are determined by the applicable application and program requirements. Applicants should review the information presented during the application process before submitting their information.
The third-party application provider may separately collect, process, or store information in accordance with its own privacy practices and terms. The Foundation encourages applicants to review the privacy information provided by the application platform.
4. Information About Students and Scholarship Recipients
The Foundation's scholarship programs primarily involve high school students, some of whom may be under 18.
The Foundation does not knowingly use the public Website to solicit or collect personal information directly from children under 13.
Scholarship application information is collected through the Foundation's third-party scholarship application platform rather than through the public Website.
With appropriate permission or as otherwise authorized in connection with Foundation programs, the Foundation may publish information recognizing scholarship recipients. This may include a recipient's name, photograph, school, scholarship or award received, achievements, biographical information, educational plans, or related information.
The Foundation uses this information to recognize scholarship recipients, communicate the impact of its programs, and preserve the history of Foundation activities.
5. Grant Partner Information and Photographs
Foundation partners may provide reports, photographs, program information, or other materials relating to Foundation-supported activities.
Partners submitting photographs or other materials containing information about identifiable individuals are responsible for ensuring that they have obtained any permissions or authorizations reasonably necessary for providing those materials to the Foundation and for their intended use.
The Foundation may use approved partner-provided materials to communicate about grants, programs, Foundation activities, and community impact, including through the Website and other Foundation communications.
6. Analytics, Cookies, and Similar Technologies
The Website and services used to operate it may use cookies and similar technologies.
Squarespace may use cookies or similar technologies to provide Website functionality, security, performance measurement, and analytics.
The Foundation also uses Google Analytics 4 to understand Website traffic and visitor interactions. Analytics information helps the Foundation understand matters such as which pages are visited, how visitors arrive at the Website, and how the Website is used.
The Foundation does not use this information to sell personal information or to conduct targeted advertising.
Most web browsers allow users to manage or restrict cookies through browser settings. Restricting certain cookies may affect some Website functionality.
7. Third-Party Services and Embedded Content
The Website may use or link to services operated by third parties.
These currently may include services such as:
Squarespace for Website hosting and functionality;
Google Workspace for Foundation email;
Google Drive for document storage;
Google Analytics for Website analytics;
Google Search Console for search performance information;

YouTube for embedded video content.
The Foundation may add other appropriate services or embedded content in the future, such as services used to display reports or publications.
When you interact with embedded content or follow a link to a third-party service, that third party may collect information according to its own privacy policy and practices. The Foundation does not control the independent privacy practices of third parties.
8. How We Share Information
The Foundation does not sell personal information.
We may disclose information when reasonably necessary to:
Foundation directors, employees, representatives, or authorized volunteers who require the information for Foundation purposes;
Scholarship selection committee members and other authorized individuals involved in administering Foundation programs;
Service providers that help us operate the Website, communicate, store information, analyze Website usage, or administer Foundation activities;
Professional advisers, such as legal or accounting professionals, when reasonably necessary;

Appropriate parties when reasonably necessary to protect the rights, safety, security, or property of the Foundation or others.
We seek to limit access to personal information to persons and organizations that reasonably need it for the applicable purpose.
9. Data Retention
The Foundation retains information for as long as reasonably necessary for the purposes for which it was collected, including Foundation program administration, recordkeeping, operational needs, and compliance with legal or regulatory obligations.
Because different types of Foundation records serve different purposes, retention periods may vary.
When information is no longer reasonably necessary, the Foundation may delete, anonymize, archive, or otherwise dispose of it as appropriate.
10. Data Security
The Foundation takes reasonable administrative, technical, and organizational measures intended to protect information in its possession from unauthorized access, loss, misuse, alteration, or disclosure.
However, no website, email system, online service, or method of electronic storage or transmission can be guaranteed to be completely secure. The Foundation therefore cannot guarantee the absolute security of information transmitted or stored electronically.
Users of restricted partner areas are responsible for protecting passwords or other access credentials provided to them and should not share those credentials with unauthorized persons.
11. Your Choices
You may choose not to provide personal information through the Website, although doing so may prevent the Foundation from responding to a request or providing a particular service.
You may also configure your browser to restrict or delete cookies. Browser settings and available controls vary by browser and device.
If you have provided personal information directly to the Foundation and have questions about that information, you may contact us using the mailing address below.
Requests concerning information submitted through a third-party service may also be subject to the procedures and policies of that service.
12. Links to Other Websites
The Website may contain links to schools, partner organizations, news sources, social media platforms, application systems, and other third-party websites.
This Privacy Policy applies to the Takitani Foundation Website and the Foundation's handling of information. It does not govern the independent privacy practices of third-party websites or services.
We encourage visitors to review the privacy policies of third-party services before providing personal information to them.
13. Changes to This Privacy Policy
The Foundation may update this Privacy Policy periodically to reflect changes in its Website, programs, technology, service providers, or legal requirements.
When the policy is updated, the “Last Updated” date at the top of this page will be revised.
